PTO Protocols for CX Team - 2025

To establish a consistent and clear approach for communicating and documenting Paid Time Off (PTO) across the CX team, ensuring seamless coordination and transparency.

Steps for Communicating Upcoming PTO

  1. Document to HR

    Submit your PTO request in Justworks as soon as your plans are finalized.

  2. Document to the Company

    Add your PTO to the Google OOO Calendar to inform the team of your absence.

  3. Communicate to the Company

    Update your Slack status with a message like “Upcoming PTO” to notify colleagues.

  4. Provide Advance Notice Based on PTO Duration

    Ensure you give the appropriate amount of notice for your PTO:

    1 day PTO: At least 1 day notice
    3 days PTO: At least 3 days' notice
    5 days PTO: At least 5 days' notice

  5. Communicate to Clients

    Update your email signature with a message like “Upcoming PTO” to inform clients of your planned absence.
